IT Admin Assistant (P/A to Director) – ML576

Job Summary

The admin assistant will provide a pivotal role between the users and technical staff ensuring that all IT administration and our users are dealt with in a professional and prompt matter.

Main responsibilities

  • Answer incoming telephone calls, including the logging, prioritisation, classification, and escalations where required
  • Coordinating between the users and IT support engineers regarding call resolution
  • Gathering quotes for IT procurement, ordering hardware / software, goods received and duties relating to the purchasing of IT equipment
  • Coordination of diaries and responding to emails recognising some may be of a confidential nature
  • Preparation of spreadsheets and reports as required
  • Maintaining and conducting regular audits of licenses and user accounts
  • Taking minutes and notes during meetings

Essential criteria for application

  • Demonstrable knowledge of Microsoft Office suite including Word, Excel, PowerPoint. Microsoft Project would be useful but not essential.
  • Confident with Windows Desktop 10 or 11

Competencies & skills

  • Must have an excellent telephone manner, communication skills and customer facing ability
  • Strong interpersonal skills, with ability to develop trust with the user base
  • Demonstrated strengths in quantitative analysis, and an ability to think creatively to achieve solutions
  • Demonstrated skills in adapting, multi-tasking and troubleshooting
  • Numerate, with the ability to use Microsoft Excel to a good level

Hours of work

Adhere to the weekly shift pattern 38 hours per week, Monday to Friday 07:00 – 18:00 with occasional requirements for working outside of these times when required.
