Garage Administration Supervisor – ML589

Job Summary

To ensure the smooth running of the shift and the appropriate supervision of drivers during the sign on and off work, ensuring appropriate support and utilisation of the drivers available at any given time to maximise the service provided to the public.  To act as the main point of contact for drivers for day to day issues. Provide administration support to the garage in areas such as electronic records, data management and basic reports.

Main responsibilities

  • To be the main point of contact for drivers to resolve and respond to day to day issues and any concerns that they may have;
  • Open and close the garage as necessary and in line with the shift pattern allocated at the garage;
  • To monitor the daily sign on of drivers ensuring that non attendees are covered from any spare capacity;
  • Notify the Service Control team of any major issues with Driver allocation which will impact on the regulation of the services;
  • Monitor and manage the absence notifications, interacting with driver where appropriate and ensuring awareness of any cover that is required;
  • Maintain spreadsheets, Oracle, SUS and DAS records of activities in line with the reporting requirements at garage level;
  • Draft correspondence and communications as appropriate and necessary to support the garage;
  • Compile returns to go to head office or other parts of the business as required by the needs of the garage;
  • Deal with occurrence reports as directed by the management team;
  • To develop and foster good working relationships with driving staff;
  • To ensure driving staff comply with Company requirements and standards in respect of wearing uniform, log/duty card completion and submission, accident/incident reporting and paying-in procedures;
  • To develop and maintain effective communication relationships with garage support staff, service controllers, engineering staff, managers and the relevant external partners, including London Buses;
  • To ensure that all records, as designated by the Company and London Buses are complied with and maintained in an accurate and timely manner.

Essential criteria for application

  • Demonstrable experience of carrying out administrative duties;
  • An understanding/appreciation of the service requirements and the management of day to day operational issues;
  • Skilled in the use of IT systems, including Excel, Word, E-mail and Oracle;
  • Thorough understanding of the London Buses contractual regime regarding the recording and apportionment of lost mileage.

Hours of work

The job involves working shifts which can be scheduled at anytime within the operational day. Shifts are rostered on a five day, 38 hour week basis which will include rostered weekends and bank holidays working. Shift work, working overnight and weekends on rotation.
