Job Summary

The Vendor Management & Operations Administrator is responsible for ensuring vendors are following processes and procedures, sourcing and on-boarding new vendors and working with the existing ones.

They will be responsible for implementing new pricing and will work closely with the IT Team to ensure software changes are fully tested before being released to the live environment.

Operations is centralised in London and has oversight of all facets of the operation from order entry to despatch and back office support.

The Operations division includes booking and despatch, fleet and driver management, third party vendor management, and operations support.

This role is providing hands on support to the Operations and Account Management teams. To provide back office admin support to Operations and to provide front line customer support across the business.

Job Description

  • Check, verify and adjust multiple payments and ensure accurate submission of financial files to ensure that supplier’s trips are priced accurately. Web Admin - Main point of contact for all CFN business units regarding credit card payment and transaction queries SWS Pricing and Payments
  • Set up new drivers, resolving payment and service/equipment issues, checking transactions and requesting authorisation for weekly payment Mantax
  • Set up new vendor accounts in all aspects of the system, MTP, SWS, Exchange, Account Manager
  • Monitor all Vendors are compliant with CityFleet Service Partner contracts and Service Level Agreements;
  • Collate and keep accurate, up to date records for all Vendors
  • Report relevant service partner system (IT) issues to the Director of Operations or the Vendor Manager
  • Liaise, support and give advice to Vendors in all matters concerning their work with CityFleet
  • Maintain the day to day contact between CityFleet and the Vendors to ensure strong working relationships;
  • Assist with UAT Testing of new functionality before release to production.
  • Investigate/resolve operational queries in relation to our systems from various sources
  • Liaise with software companies to ensure integration is successfully completed
  • Carry out Ad-hoc Service Partner audits
  • Process queries & complaints from third party car vendors
  • Assist operations in setting up new client accounts
  • Undertake general data entry and other administrative tasks
  • Undertake such other suitable tasks as may from time to time be required.

Hours of Work

Mon - Fri 09:00 -17:00, although a flexible approach to the working hours is essential as the nature of a 24/7 business requires some tasks to be fulfilled outside of ‘normal’ working hours. Some occasional travel within London may be required.

This Contract is to provide Maternity cover for the incumbent employee and will be for a minimum of 12 months.  A minimum of one month’s notice by the company will be given on the exact contract termination date. Opportunities for the right candidate may be found in a longer term position.
