The role of Duty Manager involves closely working with the Operations Manager to assist with future planning and scheduling, and help maximise driver and vehicle availability. The position also involves providing support to the Operations Controller when required and become involved with operational issues and decisions that affect the schedules that have been planned.

Main Responsibilities



  • Using the Coach Manager operating system to view bookings, schedule vehicles and drivers, and produce work tickets, reports, and information as required;
  • Support the Operations Manager in compiling future schedules and work driver / vehicle work allocations;
  • Demonstrate scheduling problem solving and solutions and communicate with sub-contractors when required;
  • Ensure that the schedules are put together to provide the necessary driver rest breaks and can be operated within the EU drivers hours regulations;
  • Provide assistance and support to the Operations Controller during operational issues;
  • Communicate effectively with drivers, engineers, and suppliers to maximise driver and vehicle availability and aid scheduling;
  • Liaise with the sales team and account managers to ensure that all bookings contain the necessary information required to be fulfilled;
  • Check drivers weekly time sheets against hours worked before handover and submission to payroll;
  • Use the Webfleet tracking system and Triscan fuel monitoring system as required;
  • Calculate and request drivers tour floats and parking as required;
  • Compile European vehicle folders and complete any legal documents when required to do so;
  • Communicate with other coach operators and third parties to try and accommodate any last minute bookings that may be offered particularly on weekends in the absence of the sales department;
  • Consistently monitoring driver and vehicle movements throughout the day and reacting accordingly;
  • Taking the appropriate action and advising drivers of any accidents, road closures, or route changes that may affect their journey;
  • Resolving driver and operational issues as they arise and communicating with all parties concerned;
  • Preparing work tickets, additional documents and extra’s for drivers including water etc when required to do so;
  • Be able to communicate with all departments and maintain a constructive role within the business;
  • Periodically answering the telephone and directing the calls as required;
  • Driving the company coaches in the event of an emergency or as a last resort to fulfil a journey;
  • Be on-call to provide out of hours cover during the periods of duty.

Essential Criteria for application

  • Demonstrable knowledge of drivers hours regulations;
  • Good geographical knowledge essential;
  • Experience working on Coach Manager program, or similar;
  • Good I.T skills
  • Transport Manager CPC qualification desirable;
  • PCV driving licence desirable;
  • Previous experience in a coach operation would be an advantage.

  • Must be able to demonstrate credibility to build professional relationships with both employees and managers;
  • Discreet when managing confidential matters;
  • An understanding/appreciation of the service requirements and the management of day to day operational issues;
  • Ability to influence and persuade key decision makers;
  • Must be a team player and willing to develop others to increase team and individual performance.

Hours of work

38 hours per week, Monday to Friday
