Job summary

To manage the company’s efforts in Environmental, Quality, Health and Safety, Purchasing, Facilities and Corporate Social Responsibilities (CSR) ensuring compliance and best practise and providing effective advice and administration.

To organise office services to provide effective support to all internal customers.

Main Responsibilities

 

 

Managing the Quality Management System (QMS) and Environmental Management System (EMS)

  • Day to day implementation of the QMS/EMS and for ensuring the requirements of the Standards is applied across the company
  •   Conduct internal audits relating to ISO9001 and ISO14001 Management Systems at all CFN Group companies
  •   Organise training for staff. Ensure all staff receive induction and refresher training on QMS, EMS and Information security as required

Administering the Health and Safety (H&S)

  • Day to day implementation of H&S and for ensuring the requirements are applied across the company
  • Undertake H&S and fire risk assessments
  • Undertake H&S audits/site inspections at all company sites
  • Maintain all health and safety records
  •   Organise training for staff. Ensure all staff receive induction and refresher training on H&S as required

Purchasing

  • Maintain Procurement and Supplier management policy, supplier on boarding
  • Custodian of company contracts and service agreement database
  • Ensure that regular purchase contracts are reviewed and best prices obtained on renewal.  Carry out procurement/purchasing
  • Conduct business analysts/Cost Analysis to facilitate effective cost savings for projects, contracts and within day-day operations

Facilities

  • Manage and monitor company Facilities in ensuring premises are in good working order and faults are responded to in a timely manner.
  • Liaise with suppliers and contractors on all health & safety and facilities requirements.

Corporate Social Responsibilities (CSR)

  • Assist the Director, Finance & Corporate Services with all CSR Policy and reporting

Legislation Register

  • Reviewing legislation and reporting on all applicable legislation to the Senior Management Team. Ensure all standards and legislative records are up to date and well maintained

The above list of duties is not exhaustive and the post holder will be required to undertake such tasks as may reasonably be expected within the scope and grading of the post.

Essential Criteria for application

  • Minimum of 2 years’ experience in a similar role covering quality, environmental and health and safety  
  • Excellent administrative skills including good working knowledge of Microsoft Word, Excel and Outlook;
  • Ability to adapt to changing environments;
  • Able to effectively manage a demanding workload and multiple priorities;
  • Flexible with regards to working extra hours as and when required;
  • Experience of working within the transport industry (desirable);
  • Clean full driving licence (desirable)
  • Supplier management
  • Good team player with the ability to also work on own initiative
  • Prioritisation and organisation skills
  • Delivering business process change

40 hours per week, Monday to Friday
